Introducing the HP Scanjet N9120 Document Flatbed Scanner

The new HP Scanjet N9120 delivers rapid, reliable scanning from an A3 flatbed document scanner. Designed to easily integrate into fast-paced, enterprise document management environments ranging from the very simple to highly complex, this productive machine quickly captures documents in black and white, greyscale, and colour.

The scanner features an integrated ink imprinter1 for customising scanned hard-copy pages, a 200-page Automatic Document Feeder with interchangeable black and white backgrounds, ultrasonic double-feed detection, and built-in hardware page rotation.

With customisable scan settings and a wide range of document scanning capabilities - from A6 to A3 - this versatile device combines sophisticated features for IT management with an easy, intuitive interface for knowledge workers.

Convenient, quick-start buttons help reduce start-up and processing time. Save time with rapid scan speeds and a 200-page ADF

The HP Scanjet N9120 offers fast, precise dedicated document scanning - up to 50 pages per minute (ppm) and 100 images per minute (ipm) in black and white, greyscale or colour at 200 dpi, using the 200-page automatic document feeder (ADF).3

The ADF automatically pulls documents through the scanner for convenient, unattended scanning. Simply drop a stack of documents - up to 200 pages - in the ADF and press a button to scan the entire stack while you attend to other work. The ADF features automatic duplexing for quick, easy scanning of large scan jobs. Dual scan heads simultaneously scan both sides of the page in a single pass, so you can save time and increase productivity.

Customise scanned documents

The scanner features an integrated ink imprinter4 to help you accurately track scanned hard-copy documents. The integrated imprinter allows you to customise scanned hard-copy pages by printing a page number, character string, or distinguishable mark on the back of the scanned page. Vertical print capabilities are programmed to support date, time, document count, and custom messages - up to 40 characters. The imprinter features are easily accessible through included ISIS and TWAIN drivers (see Easy Integration for more information).

Reliably scan every page

The HP Scanjet N9120 uses ultrasonic double-feed detection to reliably scan each and every page. The scanner stops when a double feed (two or more pages) is detected and notifies you to reset the paper in the automatic document feeder. There’s no need to double check - when the scan is complete, you can feel confident every page has been captured.

Built-in hardware page rotation saves time by eliminating the need to manually rotate hardcopy pages. The scanner allows for rotation in the hardware, so you get the results you expect while maintaining fast A4 scanning.

Quickly complete common scanning tasks

The HP Scanjet N9120 has two Quick Start buttons on the front control panel which allow for quick scanning startup. The Scan button launches the HP Smart Document Scan Software where you can select a profile to scan from, or start a scan using the HP Smart Document Scan Software profile assigned to the button. You can easily produce single or multiple copies of scanned documents or images using the dedicated Copy button and an existing default printer—the copies go directly to the default printer assigned to the PC connected to the scanner.

NOTE: The PC must be powered on and an existing printer selected to create a copy from a scanned document or image.

Additional buttons automatically launch specific tasks:

Cancel - Cancels a scan or copy job in progress.

Tools - Launches the HP Scanner Tools Utility where you can associate the scanner Quick Start buttons with scanning software, get status information, maintain the imprinter, and view information on scanner settings and maintenance.

Attention LED - Provides status information about the scanner.

Power Save - Turns off the lamp and places the scanner in Power Save mode (saves energy when the scanner is not in use). When you are ready to begin scanning again, press the Power Save button to wake up the scanner (see Start scanning jobs faster).

Selecting scan profiles

Scanning profiles provide a fast, efficient way to scan. You can configure settings for numerous profiles for specific, frequently used scanning functions. Profiles describe the scan settings, profile options, and destination of the scanned document, such as a SharePoint portal, FTP, Microsoft® Word, or others. You can create customised scan profiles using the included HP Smart Document Scan Software - then assign the profiles to Quick Start buttons on the control panel where you can easily launch them. See the onscreen Help for details.

The HP Smart Document Scan Software includes a set of predefined scan profiles for typical scanning tasks. You can create new profiles, as well as modify, upgrade, delete or restore profiles at any time. See the HP Smart Document Scan Software onscreen Help for details.

HP’s proprietary Instant Lamp-on scanning technology keeps the scanner lamp warm and stable so the Scanjet N9120 is always ready to scan. This innovative technology reduces start-up time when the scanner bulb has been turned off.

High-quality results

HP scanners feature technology that delivers an optimal combination of scanning resolution and performance for fast, high-quality scans. You can easily adjust the resolution to fit any job. Scan documents in low resolutions to get the smallest file size, or scan with higher resolution (up to 600 dpi) for better image quality. For getting the best image from difficult documents such as those with coloured backgrounds, the HP Scanjet N9120 includes Kofax VirtualReScan® (VRS®) Professional software. The Kofax VRS Professional software is easily utilised simply by checking a box in the “Scan” section of a scanning profile in the HP Smart Document Scan Software.

Note: The Scanjet N9120 speed specifications of 50 ppm/100 ipm are based upon scanning at 200 dpi. Selecting higher quality settings increases the time it takes to capture a scan.

VERSATILE DOCUMENT HANDLING

Reliably scan a variety of paper sizes

The HP Scanjet N9120 accommodates a variety of hard-copy documents, from A6 to A3-sized media, including index cards, questionnaire forms, surveys, medical records, mortgage documents, ledgers, magazines and more. The scanner captures A3-sized documents through the ADF or the flatbed scan surface. The automatic document feeder accepts varying paper sizes from 70 – 300 mm wide and 148 – 864 mm long.

The A3-size flatbed can be used for scanning items such as thin paper, excerpts from thickbound materials and books, and worn or stapled documents that cannot be sent through the automatic document feeder.

A hardware deskew feature straightens pages prior to scanning, reducing the likelihood of documents becoming skewed or slanted during scanning.

Changeable ADF black and white backgrounds

The Scanjet N9120 allows you to easily switch back and forth between black or white backgrounds to enhance the readability of scanned documents. The black background improves image quality and allows software applications to better distinguish the edges of scanned pages. The white background minimises the appearance of the outside edges of scanned pages in digital files. See the HP Scanjet N9120 User Guide or the onscreen Help for details.

Colour channel filter

A multicolour drop-out feature allows you to remove up to three distinct colours from scanned documents or images. You can filter out a colour channel (red, green or blue) or up to three specific colours from a scanned image, such as removing coloured lines from a questionnaire form. This feature is useful for filtering out dark backgrounds from the image content, for example, black text on green paper or red instructions on a form to enhance readability. Removing colours from scans can improve the accuracy of optical character recognition (OCR) or intelligent character recognition (ICR) results and reduce the size of scanned files.

The included ISIS, TWAIN and WIA drivers make the HP Scanjet N9120 compatible with most large-scale document management systems and industry-leading software applications. The scanner supports a broad range of document capture applications and in many cases, offers plug-and-play simplicity to fit present technology environments. HP Smart Document Scan Software

This software is a fast, ISIS-based, document scanning application that provides easy-to-use document capture tools to help streamline workflows. Management options include setting up scan destinations, saving scanned images as different file types, batch separation, digital imprinting and more.

You can set up customised settings, such as document size, resolution and destination, name scanning profiles and assign them to a Quick Start button. Customisable settings include auto crop, auto deskew, auto orientation, resize page and deletion of blank pages. After pages are scanned, they can be reordered, deleted, or inserted and rotated. Use the barcode detector or a blank page to separate jobs while batch scanning. You can easily convert stacks of hard-copy documents and save them as electronic files in a variety of popular formats including PDF-A, PDF image and searchable, Microsoft Word, TIFF, MTIFF and JPEG. Enhanced PDF file compression (MRC) saves files in manageable sizes so they can easily be stored, e-mailed or organised. A customisable destination option allows you to send documents to any application that supports command line parameters.

Viewing profiles:

To view the existing HP Smart Document Scan Software profiles, double-click the HP Smart Document Scan Software icon on your desktop (automatically created when you install the HP Smart Document Scan Software).

Selecting a profile from the list:

The text box below the profile list contains a brief description of the selected profile. To view all settings in a profile, click Edit, and then browse the tabs in the Profile Settings dialogue box.

Setting up a profile:

To create a new scan profile, click the New button in the Main Window or select New in the Profiles menu and type a descriptive profile name. Follow the instructions to customise the scan settings such as the page size, resolution, colour mode, etc. Profiles can be created, edited or deleted from the Main Window.

Turning duplex on and off:

An HP Smart Document Scan Software profile includes a setting for simplex, duplex, or flatbed mode, which is used when scanning with that profile. The default setting for the profile selected is shown at the top of the opening screen. You can override the setting for a specific scan job simply by selecting a different choice.

Deleting blank pages:

Checking the box next to “delete blank pages” on the “Process Tab” will delete any blank pages when saving a document.

Scanning multiple documents in a single batch:

HP Smart Document Scan Software allows the separation of documents in batch scanning using the number of pages, blank pages, or bar codes. Check the appropriate box in the “Process Tab” in the “Separate Documents” section.

Selecting a destination:

You can choose from 14 different file types such as searchable PDF, JPEG and Word documents from the “Destination” tab in the Profile setting. You can define file-naming conventions which include using the date, the profile name, or a unique name. Simply type the name you want to use in the box from the drop-down menu. You can then select a “save” location such as a folder on a PC or shared drive, or select a “link” to an application. Several pre-configured links are shipped with the program including links to Microsoft Sharepoint Portal and email. You also have the option to create a custom link by selecting the “settings” button for the “application” link, where you can input the specific launch instructions using command line parameters.

Scanning and managing pages in the Preview Pages Window:

After pages have been scanned, you can browse, rotate, move, delete, mark blank, scan more or rescan. Select a thumbnail and click the View Page button, or double-click the thumbnail to open it in the Preview Pages window. Use the toolbar located under the image view to rotate, zoom in or out, crop, straighten and browse. Multiple pages can be selected with the shift or control keys to apply changes to all pages such as rotation. You can also resize the thumbnails on the screen by clicking the left mouse and selecting the appropriate choice.

Kofax® VirtualRescan® Professional

This software helps reduce document preparation and manual intervention during the scanning process. Kofax VirtualReScan (VRS) Pro is a patented image enhancement technology that automatically provides the best possible image quality and most efficient scanning operation, regardless of the condition of the original documents. It is especially useful for scanning documents into a black-and-white file where the background of the document is very light, dark, faded, or damaged.

Kofax VRS Pro offers an Adrenaline Image Processing Engine (AIPE) for barcode recognition, and enhanced image clean-up for processing documents that are difficult to scan. It also offers advanced features, such as blank-page deletion, auto-orientation, colour bleed-through detection, improved image clarity and background smoothing.

HP has made using VRS extremely simple by allowing you to simply check a box in the HP Smart Document Scan Software profile definition to automatically and silently use VRS. The VRS interactive interface will automatically come up only in rare cases when the page you are scanning will not yield good results. You can manually adjust the brightness, contrast, gamma and more in the VRS interactive interface when you preview the image in the preview window.

I.R.I.S. Readiris™ Pro OCR

The included I.R.I.S. Readiris™ Pro OCR software has the power and accuracy to convert scanned office documents into editable text and shareable digital files. Readiris Pro allows you to edit text from scanned files and easily save scans as Microsoft® Office, PDF, or HTML files. Simply scan your document with Readiris Pro OCR, and the software will perform all the tedious retyping work for you. Quickly convert any document into text, reproduce the original layout, and easily convert documents into more than 20 different applications, including Microsoft Word and Excel, and Adobe Acrobat.

HP Scanner Tools Utility

The HP Scanner Tools Utility allows you to map the scanner task buttons to various applications on your computer, assign profiles to Quick Start buttons, choose which profiles are selectable from the scanner front panel, configure PDF settings, and view scanner maintenance information. To launch the tools utility, press the Tools button on the front panel. The tools utility is also accessible from the HP Scanjet N9120 Scanner Tools Utility icon on your Windows desktop or the Windows Start menu.

EVALUATING THE SCANNER FUNCTIONALITY

This section provides information and guidelines for evaluating select features offered with the HP Scanjet N9120 Document Flatbed Scanner.

Before you begin

Obtain one or more single-sided and two-sided documents containing text and graphics (business graphs or charts) in A4 and A3 sizes, or bound documents such as stapled reports. You will use the items for evaluation activities, such as scanning documents, creating black-and-white or colour copies, and using the imprinter.

General guidelines to consider in scanner evaluations

Obtain quality originals.

Test with originals that are typical of what an end-user will scan.

Consider including performance of typical tasks in your review.

Setup and installation

Install the scanning software and set up your evaluation unit following the steps in the HP Scanjet N9120 Getting Started Guide. For information on setting up the imprinter and installing the HP Inkjet Print Cartridge, see the HP Scanjet N9120 User Guide. Evaluate the user documentation for helpfulness.

Scanning documents

The basic steps for scanning are:

Load the originals.

Do one of the following:

Press the Scan button on the scanner front panel to start scanning with the assigned software (and profile, if appropriate).

On the computer, click on the HP Smart Document Scan Software icon to open the application, select a profile, and then initiate a scan.

On the computer, open a TWAIN, ISIS or WIA compliant application and select the scanner data source. Select the appropriate settings, and then initiate a scan.

Associate a quick start button with scanning software

The scanner includes two quick start buttons, Scan and Copy. You can associate any buttonaware scanning software with each of these buttons using the following steps:

Press the Tools button on the scanner front panel to open the HP Scanner Tools Utility. Click the Buttons tab.

In the Program to Start drop-down list for a button, select the scanning software that you want this button to start.

Optionally, if you selected the HP Smart Document Scan Software, in the Profile dropdown list, select a profile.

If you do not select a profile, pressing the button starts the HP Smart Document Scan Software so that you can choose the scan settings each time that you start a new scan.

NOTE: If you change the name of a profile that is assigned to a Quick Start button, you must reassign the profile to the button in the HP Scanner Tools Utility.

Click Start, point to Programs or All Programs, point to HP, point to HP Smart Document Scan Software, and then click HP Smart Document Scan Software, or select the HP Smart Document Scan Software icon on the desktop.

Use the Copy button

The basic steps for copying are:

Load the originals. See the HP Scanjet N9120 User Guide, Load Originals.

Do one of the following:

Press the Copy button on the scanner front panel to print the copies with the current copy settings.

Click Start, point to Programs or All Programs, point to HP, point to Scanjet, point to N9120, and then click Document Copy. Select print settings in the HP Document Copy dialogue box.

NOTE: If you want to change the copy settings, start the copy from the HP Document Copy software. You can configure HP Document Copy to always prompt for copy settings before starting to print. See the HP Scanner Tools Utility Help for details.

TIP: If you load the originals into the automatic document feeder and select duplex scanning or copying, the scanner processes both sides of a two-sided original at the same time.

Using the imprinter5

The scanner includes an imprinter that can print a text message and index number on the back of documents that are fed through the automatic document feeder. An imprinter mark verifies that the document has been scanned, and the mark can indicate when the scan occurred.

NOTE: If you are scanning two-sided pages, the imprinter mark might print over existing content on the pages.

Open the HP Smart Document Scan Software.

Select a scan profile, and then click Edit.

On the Scan tab of the Profile Settings dialogue box, click Advanced Settings.

On the Imprinter tab of the Properties dialogue box, select Enable Imprinting.

In the Text box, enter the text to be printed on the back of each scanned document.

Adjust the imprinter to match the page size.

You can also do the following:

Set a counter for the number of pages imprinted.

Include the date and time in the imprinter mark.

Specify the distance between the leading edge of the document and the beginning of the imprinter mark.

Rotate the imprinter mark.

Make the imprinter mark bold.

Disable scanning when the print cartridge is running low on ink.

Programming buttons and profiles using HP Smart Document Scan Software

With HP Smart Document Scan Software profiles, you can capture and send scanned images to many different middleware back-end solutions. The “Send To” application link portion of the Destination tab lets you send an image file to packaged or custom applications. There are predefined links to ScanSoft Paperport and Sharepoint 2003/2007. In addition to predefined links, destination links can be customised to send files to applications via a command line argument, or to utilise e-mail, FTP, or a web folder for connectivity. If back-end applications are polling from a shared network location, HP Smart Document Scan Software can scan files directly to shared drives through the Destination folder and can include an XML file describing its contents.

Evaluating ultrasonic double-feed detection

The HP Scanjet N9120 offers reliable scanning of each and every page with an ultrasonic double-feed detection feature. To evaluate this feature, enable ultrasonic double-feed detection through the software application (available through ISIS/TWAIN advanced settings).

Attach a sticky note, or tape a piece of paper in the centre of a single sheet of paper. Feed the page through the automatic document feeder (ADF) as a single sheet of media or within a stack of media to verify the double-feed detection capability of the scanner. Repeat the test with the ultrasonic double-feed detection feature disabled.

NOTE: The ultrasonic double-feed detection feature remains “on” until disabled in the software.

Evaluating scanning features

As you answer the following questions, consider the end-user’s needs. With the use of document scanners - formerly limited primarily to scan technicians - now encompassing individuals in a variety of business environments, ease of use becomes a particularly important factor.

Does the device have a set of useful features?

Does it have productivity features such as switchable backgrounds, double-feed detection, imprinters, etc.?

What productivity software is included? Does it include Kofax VRS?

How easy is it to learn and remember how to accomplish tasks? Do you need to open different software to accomplish different tasks, or to see what settings to use?

Consider how well the feature set meets the needs of customers (business users and users in large enterprise organisations).

How well does the product design fit its intended market?

Does the device support a variety of paper types, weights, and sizes?

How easy is it to select a specific application to send scanned documents, or to change selections or scan settings?

How easy is it to create copies with a default printer?

Evaluating the capture software

As you evaluate the scanning software interface, consider the following:

Is the software easy to install and use?

How easy is it to perform basic tasks such as scanning documents and saving to PDF, making a copy, and scanning to email?

Does the software provide a quick, easy path from capturing a document to archiving it, or sharing it in an electronic format?

How easy is it to change default settings or select a different application to send scanned documents?

Evaluating scanning performance

Scanners are often ranked by the number of pages per minute (ppm) scanned. This indicator, somewhat like horsepower in a car review, gives some guidance but does not tell the entire story. Scanning speeds are only one part of the time it takes to get a document into a scanned file for archiving or sharing. The combination of scan features, such as the time it takes to achieve common scanning tasks, software interface, paper handling capabilities and overall ease of use, including training, must fit your needs to make your project a success - regardless of the scanner’s speed rating. Also consider which ISV applications the scanner works with.

As you perform each scan job, note the length of time it takes to complete each scan. Consider the time to achieve a complete task, not just the scan.

The task buttons on the HP Scanjet N9120 control panel can help save time and increase productivity with the capability to start common scan tasks simply with the press of a button.

Consider integration of scanning applications with other common applications, including innovative ways to eliminate steps and ease integration.

The HP Scanjet N9120 can be integrated with ISIS/TWAIN/WIA compliant applications with the included ISIS, TWAIN and WIA drivers so you can set up the scanner and begin scanning immediately.

Measuring scanning speed

There are many ways to measure speed. Compare the quality - text, mixed text and colour graphics - of scanned documents with scanned output from other comparably priced scanners.
